Best Co-Living Management Software: Criteria, Options and Fit
A criteria-first comparison of coliving management tools for Indian operators: what a PG or hostel-style app covers, and when you need booking, lease or channel integrations.
Quick answer
The best co-living management software is the one that matches how your residents book and pay. If residents stay month to month in shared or private rooms and pay you directly by UPI, cash or bank transfer, an operations app built for PGs, hostels and co-living usually covers the daily work: rooms and beds, resident records, rent records, complaints, notices and team access across properties. EasyAavaas is one such app, free forever for owners, staff and residents on Android and iOS. If you sell stays online, sign leases digitally or distribute rooms through booking channels, compare booking-led platforms as well.
Who publishes this comparison
EasyAavaas publishes this guide and makes one of the products in it. We set the criteria first, read every other vendor’s claims on that vendor’s own website on 23 October 2026, and wrote “Not stated on official site (unverified)” wherever we could not find a point. We do not rank the tools or score ourselves. Vendor pages change, so confirm prices and features with each vendor before you decide.
This guide is about co-living specifically: resident turnover, mixed room types, several buildings run by site managers, and phone-first communication. If you run a PG and want the wider PG software comparison, read the best PG management software guide for India. What co-living operators need from software
A co-living property looks like a PG on paper: rooms, beds and monthly rent. The operating pattern is different in a few ways, and those differences should shape your shortlist.
- Faster resident turnover. Shorter stays mean more move-ins, move-outs, deposit settlements and room changes each month. The software has to keep a resident’s history when they change rooms or leave.
- Mixed room types in one building. Private rooms billed as a whole and shared rooms billed per bed, sometimes on the same floor. One property should hold both billing models.
- Several buildings with site managers. Many co-living operators run more than one address. Each site manager should see their own building, while the owner sees all of them.
- Phone-first residents. Rent reminders, notices and complaint updates need to reach residents where they already are, usually WhatsApp and a phone app.
- A clear payment model. Decide whether residents pay you directly and you keep a record, or whether the software collects the money. These are different products with different costs.
- Booking and contracts at scale. Larger brands may need online booking, digital agreements, channel distribution and accounting links. Smaller operators often do not.
Criteria for comparing coliving management software
| Criterion | What to check | Why it matters in co-living |
|---|---|---|
| Resident and room operations | Floors, rooms and individual beds; per-bed and whole-room billing; move-in, room change and move-out records | Turnover is higher, so vacancy and history must stay accurate without manual clean-up |
| Multiple properties | One account for several buildings, a combined view and quick switching between properties | Owners need the portfolio picture; site staff need their own building |
| Team access | Separate logins for managers and staff, access limited to assigned properties, control over who sees rent and payments | Shared logins make it hard to know who changed a record |
| Payment records | Does the tool record payments made to you, collect money through a link or gateway, or both? Who verifies proof? | Collection features can carry fees and settlement terms; record-keeping leaves the money with you |
| Resident communication | Rent reminders, notices and complaint updates; channels such as app, WhatsApp and SMS; whether residents must install anything | Most co-living disputes start with a missed or unclear message |
| Deposits and move-out | Deposit amount, paid and refund status; checks before a resident leaves | Short stays mean deposit refunds come up every month |
| Booking, leases and channels | Online booking, digital agreements or e-sign, listing or OTA sync, accounting or CRM links | Needed when you sell rooms online at volume; extra cost and setup when you do not |
| Price and limits | Monthly fee, per-bed or per-property charges, trial versus continuing free use, message or add-on costs | A free trial is not the same as a product that stays free |
| Platforms and data | Android, iPhone or web; reports and exports you can keep | Owners, site staff and residents use different devices |
Two kinds of co-living software
Most tools fall into one of two groups. Knowing which group you need removes half the shortlist.
Operations apps built for PGs, hostels and co-living
These focus on what happens after a resident moves in: bed occupancy, rent records, reminders, complaints, notices, deposits and staff. They suit owner-run co-living and smaller brands whose residents come through enquiries, referrals or listing sites and pay the operator directly each month. In India, several products serve PGs, hostels and co-living with the same core, including EasyAavaas, KwikPG, RentOk and ManagR.
Booking-led platforms for larger co-living brands
These start from inventory and sales: rooms or beds offered for booking, membership or contract terms, online payments, and distribution through websites, agents or online travel agents (OTAs). They suit brands that fill rooms online at volume, mix short and long stays, or already run a CRM such as Salesforce. Booking Ninjas and Res:Harmonics are two examples whose official sites describe co-living use. Booking Ninjas lists its prices with a $ sign; Res:Harmonics did not show prices on its site when we read it.
When a PG or hostel product fits, and when you need booking or lease tools
A PG or hostel-style app usually fits when
- Residents stay a month or longer and pay monthly.
- Enquiries come by phone, WhatsApp, walk-ins, referrals or listing sites, and your team confirms them.
- Rent goes straight to your UPI or bank account and you only need a reliable record.
- You run one to several buildings with a small team.
- Agreements are signed offline and kept as a document on the resident’s record.
Booking, lease or channel integrations become necessary when
- Residents book and pay online without speaking to your team.
- You sell short stays alongside monthly stays and list rooms on OTAs or with agents.
- You need digital contracts signed at scale, with renewal terms tracked.
- Finance needs invoices posted to accounting software or a CRM.
- Pricing and availability must stay in sync across many buildings and sales channels.
Many operators run both: an operations app for daily resident work, and a separate booking or contract tool for sales. If you do, decide which system holds the record for rent and occupancy so the two never disagree.
A practical rule
If most residents stay for months, pay you by UPI or cash, and arrive through enquiries rather than an online checkout, start with an operations app. Add booking, e-sign or channel tools when the volume of online sales justifies the cost and setup.
Co-living management tools compared
The tables summarise what each vendor’s own website said on 23 October 2026. They are not a ranking. “Not stated” means we could not find the point on the official site, not that the feature is missing. Every source is listed at the end of this guide.

Who may prefer each option
- EasyAavaas may suit owner-run co-living and small teams whose residents pay them directly and who want rooms and beds, rent records with payment proof, deposits, complaints, notices and per-property staff access across several buildings at ₹0. It is not the right fit if you need online booking, payment collection, e-sign, an owner web dashboard or spreadsheet import.
- KwikPG may suit operators who want residents handled mostly on WhatsApp without a resident app, UPI links matched to bills, and meal planning, and who are comfortable with a published monthly subscription after the launch offer.
- RentOk may suit operators who want lead and visit management, a property website, autopay-style collection or a white-label app, and who are ready to discuss plan pricing with sales.
- ManagR may suit operators who prefer a web dashboard and a WhatsApp AI assistant, want agreements, e-stamp and KYC in the same tool, and can work without a released mobile app while it is listed as coming soon.
- Booking Ninjas may suit larger co-living brands already on Salesforce, or those needing bed-level reservable inventory, membership billing and e-sign, with a budget for its subscription and implementation.
- Res:Harmonics may suit operators who combine co-living with serviced apartments or long stays and sell through OTAs, agents or the GDS, with card and direct-debit billing.
Test a co-living workflow before you choose
A feature list cannot show how a tool behaves on a busy month. Run the same short test on every tool you shortlist, using clearly labelled example records.
- Set up one building with a private room billed as a whole room and a shared room billed per bed.
- Add a manager to that property only, then check what they can and cannot see, especially rent and payments.
- Move a test resident in, record a UPI payment with its UTR and proof, and confirm the status changes.
- Raise a complaint as the resident, assign it, post an update and close it.
- Send a notice and check how it reaches residents.
- Add a second property and check the combined view across both.
- Move the test resident out and check how unpaid rent, issued items and the deposit refund are handled.
- Remove or clearly label the test records before adding real residents.
In EasyAavaas, move-out is blocked until rent is settled, issued items such as keys are returned and the deposit is settled or marked for refund later. That safeguard is worth testing on any tool you consider. See how multi-property management and staff permissions work in EasyAavaas.

Frequently asked questions
What is the best coliving management software in India?
There is no single best tool for every operator. Owner-run co-living with monthly residents who pay directly is usually served by an operations app for PGs, hostels and co-living, such as EasyAavaas, KwikPG, RentOk or ManagR. Larger brands that sell rooms online, sign leases digitally or list on booking channels may need a booking-led platform. Compare tools on your own workflow rather than a ranking.
Is there free co-living management software?
Yes. EasyAavaas is free forever for owners, staff and residents, with no per-bed or per-property fee and no limit on properties or beds. ManagR also describes its software as free forever on its official site. Some other tools offer a free trial or launch offer before a paid plan, so check whether free use continues after the first months.
Can PG management software handle co-living?
Usually, if residents rent rooms or beds monthly and pay you directly. Check that one property can hold private rooms billed as a whole and shared rooms billed per bed, that managers can be limited to their own building, and that deposits and move-outs are handled. If you need online booking or digital leases, plan for an extra tool.
Does EasyAavaas collect rent from co-living residents?
No. Residents pay the owner directly by UPI, cash, bank transfer or another method. EasyAavaas records the payment, keeps the proof and UTR a resident uploads, and tracks whether staff have verified it. It does not process payments, hold money or reconcile bank accounts.
Can site managers see only their own co-living property in EasyAavaas?
Yes. Team access is set per property. The owner adds a manager, warden or staff member to a property and can switch individual permissions on or off. Accountant, staff and support roles do not see rent or payments unless the owner turns those permissions on.
Does EasyAavaas support online booking or OTA channels?
No. EasyAavaas has no online booking, channel manager or e-sign. Co-living brands that need those can run a booking or contract tool alongside an operations app and decide which system holds the rent and occupancy record.
