Free vs Paid PG Management Software: How to Work Out the Real Cost
The monthly price is only one line of what PG software costs. Here are the pricing models you will meet, the charges that sit outside the subscription, verified examples from official pricing pages, and a worksheet to add it all up for your beds.
Who publishes this guide
EasyAavaas publishes this guide, and EasyAavaas is free PG management software, so we have an interest in how you weigh free against paid. The pricing models below are described as categories, not as claims about any one company. Where we name a product, the detail comes from that vendor’s official page, read on 23 October 2026 and linked under Sources.
Quick answer
Free and paid PG software differ less in the sticker price than in the total cost. For one year, add five lines: the subscription (flat, per property or per bed, plus GST), setup, payment charges on rent collected online, WhatsApp message charges and any add-ons. In our illustrative 40-bed example, gateway charges on rent cost more than the subscription itself. EasyAavaas is free forever: ₹0 a month, no per-bed fee, no setup fee, no commission on rent and messaging costs covered, because tenants pay you directly. Use the worksheet below to compare any two options.
Owners usually compare PG software by its monthly price. That number matters, but it can hide the costs that grow with your PG: a fee for every bed you fill, a charge on every rupee of rent paid online, or message packs once a free quota runs out. This guide explains each charge, shows real examples, and gives you a worksheet to work out the full yearly figure. For a product-by-product comparison, see best PG management software in India.
How free and paid PG software is priced
Every PG management app you look at will use one of these models, or a mix. None is good or bad on its own; what matters is how the bill changes as your PG grows.
| Pricing model | How it is charged | What makes the bill grow | Ask the vendor |
|---|---|---|---|
| Flat subscription | One monthly or yearly price, sometimes plus 18% GST | Renewal price changes | Is GST included? What does the yearly plan cost? |
| Per-property pricing | A separate plan for each property | Opening another building | Is each branch billed in full? |
| Per-bed or per-unit pricing | A fee for each bed, room or tenant every month | Filling beds and adding rooms | Is it charged on all beds or only occupied ones? |
| Tiered plans with caps | Price steps by beds, properties or staff seats | Crossing a cap | What happens if I cross the cap mid-year? |
| Free trial | Full access for a fixed period, then a paid plan | The trial ending | What happens to my records if I do not pay? |
| Restricted free plan | ₹0 below a cap on beds, properties or features | Growing past the cap | Which features are missing on the free plan? |
| Free to start | ₹0 at first; the paid plan price may not be published | Moving to the paid plan | What will the paid plan cost for my beds? |
| Free owner subscription | ₹0 with no time limit | Only optional extras, if any | What is optional, and how is the product funded? |
Charges that sit outside the subscription
- Payment gateway charges. When rent is paid through a payment link or autopay, a gateway processes it. Charges usually depend on the payment method (UPI, debit card, credit card, net banking), and may be paid by you or passed on to the tenant.
- Platform fee on rent. Some software takes a small percentage of rent processed through it, separate from the subscription.
- Tenant charges. Convenience or processing fees paid by tenants are not on your bill, but tenants notice them and some will ask you to waive them.
- WhatsApp message charges. Some products include a message quota and then sell message packs.
- Setup, data entry and training. One-time fees for onboarding, importing tenants or training staff.
- Add-ons. Paid leads, tenant verification, e-stamped agreements, deposit cover or a branded app.
- GST. Software prices may be quoted plus 18% GST.
- Lock-ins and refunds. Prepaid yearly plans save money but may not be refundable if you switch.

Worked example with illustrative figures
Example, illustrative figures only, not any vendor’s price: a 40-bed PG with an average rent of ₹7,500 a bed, assumed full all year. Yearly rent volume is 40 × ₹7,500 × 12 = ₹36,00,000. We compare three setups. Setup 1 charges ₹50 per bed per month plus GST, and tenants pay the owner directly. Setup 2 charges a flat ₹1,000 a month plus GST; 60% of rent is paid through its gateway at an assumed 1% charged to the owner, and 1,000 WhatsApp messages go beyond the free quota at an assumed ₹0.50 each. Setup 3 is a free owner subscription where tenants pay the owner directly.
| Cost line | Setup 1: per bed | Setup 2: flat + gateway | Setup 3: free, direct payments |
|---|---|---|---|
| Subscription or bed fees (D + E) | ₹50 × 40 × 12 = ₹24,000 | ₹1,000 × 12 = ₹12,000 | ₹0 |
| GST at 18% (F) | ₹4,320 | ₹2,160 | ₹0 |
| Setup (G) | ₹0 assumed | ₹0 assumed | ₹0 |
| Payment charges (H) | ₹0 (paid directly) | 60% of ₹36,00,000 = ₹21,60,000 × 1% = ₹21,600 | ₹0 (paid directly) |
| WhatsApp messages (J) | ₹0 assumed | 1,000 × ₹0.50 = ₹500 | ₹0 |
| Year-one cost (L) | ₹28,320 | ₹36,260 | ₹0 |
- In Setup 2, the payment charge (₹21,600) is larger than the subscription and GST together (₹14,160). If the gateway charge is passed to tenants instead, your cost falls to ₹14,660, but your tenants pay ₹21,600 between them.
- Setup 1 grows with occupancy: at 50 beds the same ₹50 fee becomes ₹30,000 plus ₹5,400 GST, or ₹35,400 a year.
- A flat fee beats a per-bed fee once beds exceed the flat fee divided by the bed fee: here ₹1,000 ÷ ₹50 = 20 beds.
- Setup 3 costs nothing in fees, but someone still records cash and checks UPI proof against your bank app. Payment links do that matching for you, which is what the gateway charge buys.
Once you have a yearly software figure, divide it by 12 and add it as a monthly cost in the PG cash planning calculator, next to electricity, staff and maintenance, so you can see it against the rent you actually expect to collect.
When paying for PG software makes sense
Free is not automatically better. A paid tool is worth it when it does a job you would otherwise pay for in staff time or lost rent, and your worksheet shows the saving is larger than the cost. Paid products commonly offer some of these:
- Online rent collection by payment link or autopay, with payments matched to tenants automatically
- Mess, meal plans, attendance or gate modules for student hostels
- A web dashboard for an office or accounts team
- Excel import, or a team that enters your rooms and tenants for you
- Lead management, a booking website or listing on a marketplace
- A dedicated account manager or support agreement for large portfolios
What free forever means in EasyAavaas
EasyAavaas is free forever for owners, managers, staff and tenants. There is no paid tier, no time limit, no per-bed or per-property fee, no limit on properties or beds, no setup fee and no commission on rent. EasyAavaas covers the cost of the WhatsApp rent reminders and notices it sends. The WhatsApp assistant is included at no charge after the EasyAavaas team activates it for your account; message them on WhatsApp at +91 78787 65818.
It costs nothing on rent because it never handles rent: tenants pay you directly by UPI, cash or bank transfer, and you record the payment or verify the proof they upload. That also means there are no payment links, autopay, receipt PDFs or automatic bank matching. The full list of what is included is on the EasyAavaas pricing page.

Questions to ask any vendor before you pay
- What will I pay in total for my number of beds in year one, including GST?
- Does the price change when I add beds, properties or staff?
- Who pays the payment charge on rent, and at what rate for UPI, cards and net banking?
- Do you take any percentage of rent?
- How many WhatsApp messages are included, and what do extra messages cost?
- Is there a setup fee, and is the first payment refundable if I leave?
- How do I export my tenants and payment history if I switch?
Is free PG management software good enough?
It can be, if it covers the work you actually do: rooms and beds, tenant records, rent records, reminders, complaints and staff access. Check the free terms first. A free trial ends, a restricted free plan has caps, and free forever software stays at ₹0. Paid tools can make sense when they add something you need, such as online rent collection or mess management.
What hidden fees should I look for in PG software?
Look beyond the subscription: GST, per-bed or per-property fees, setup charges, payment gateway charges on rent paid online, platform fees on rent, WhatsApp message packs and paid add-ons. Most vendors publish these, so ask for them in writing and add them up for a year.
Does EasyAavaas charge tenants or take a cut of rent?
No. EasyAavaas has no commission on rent and no tenant charges. Tenants pay the owner directly by UPI, cash or bank transfer, and the app keeps the record. EasyAavaas does not process, hold or transfer money.
Is there a time limit on the free EasyAavaas app?
No. EasyAavaas is free forever for owners, staff and tenants, with no paid tier and no limit on properties or beds. The WhatsApp assistant is included at no charge after your account is activated by the team.
How do I compare per-bed pricing with a flat monthly price?
Divide the flat monthly price by the per-bed fee. Above that number of beds, the flat price is cheaper. For example, with illustrative figures, a ₹1,000 flat fee and a ₹50 per-bed fee break even at 20 beds. Remember to include GST and any payment charges on both sides.
Who pays payment gateway charges on rent?
It depends on how the software and gateway are set up. The owner may absorb the charge, or tenants may pay a convenience or processing fee. Rates usually differ for UPI, cards and net banking. Ask the vendor for the rate card and who bears it before you switch on online collection.
