What a PG rent receipt should include

  • A receipt number, unique and in sequence (R-001, R-002…).
  • The date the money was received.
  • Who paid (the tenant or payer) and who received it (owner or manager).
  • The property name, address if needed, and room or bed.
  • The rent period, from and to.
  • The amount in figures and in words.
  • The payment method and reference: the UTR or bank reference, a cheque number, or Cash.
  • What the payment is for, and the balance if it was a part payment.
  • The signature of the person who received the money.

Worked example (fictional)

October rent for room 101 / B is ₹7,000. On 5 October the tenant pays ₹4,000 in cash. Receipt R-014 shows ₹4,000 (Rupees Four Thousand Only) by Cash for 01 Oct 2026 to 31 Oct 2026, with ₹3,000 still due. On 15 October the tenant pays ₹3,000 by UPI: receipt R-015 shows ₹3,000 with the UTR, ₹4,000 received earlier and a nil balance. In the rent register, the cash row’s proof reference is Receipt R-014.

Rent receipts for HRA claims

Tenants who are salaried often ask for monthly rent receipts to claim house rent allowance. Employers set their own document requirements, and the rules change, for example on when the landlord’s PAN is needed or a revenue stamp is used on cash receipts. This template does not guarantee that any employer or authority will accept it. Ask the tenant what their employer needs, and check compliance questions with a qualified tax professional.

Common questions

Will my tenant’s employer accept this receipt for HRA?

It records the details employers usually ask for, but each employer sets its own requirements and the rules change. Some ask for the landlord’s PAN or a revenue stamp on cash receipts. Ask the tenant what their employer needs and check with a qualified tax professional.

Can I give a receipt for a part payment?

Yes. Enter only the amount received now, and fill the optional rent due and received earlier fields so the receipt shows the balance still due for the period. Give a new receipt with a new number for the next payment.

Is anything I type saved or uploaded?

No. The receipt is built in your browser. Nothing is uploaded, stored or sent to EasyAavaas, and the details disappear when you close or reload the page.

Does EasyAavaas send rent receipts to tenants?

No. EasyAavaas records payments and payment proof and notifies the tenant when a payment is recorded or verified, but it does not create receipts or PDFs. Use this maker or the Excel template when a tenant needs a signed receipt.

Should the security deposit be on the same receipt?

Give a separate receipt for a deposit and write Security deposit in Payment for. Keeping it apart from rent makes the refund easier to settle at move-out.
