How to use the monthly register

1. Save a copy for one month. Read Instructions and review the fictional Worked example.
2. Open Blank register. Enter the month, property, room or bed, a resident reference, agreed rent, adjustment and verified payment. Use zero where there is no adjustment or payment.
3. Check payment against your bank or agreed payment record before adding it. A screenshot alone is not a confirmed receipt.
4. Read the calculated net charge, outstanding balance and credit. Keep a credit separate from rent still due from other residents.
5. Add due date, checked date and notes. Resolve rows marked “Check inputs” before using totals. Keep refundable deposits in a separate record.

A small worked example

What the formulas calculate

Net charge = agreed rent + adjustment. Outstanding = the larger of net charge − verified paid or zero. Credit = the larger of verified paid − net charge or zero. Blank rows remain blank. This register does not send reminders, process payments or import into EasyAavaas.

Enter each resident once per month. For multiple payments, update the cumulative verified paid amount and keep transaction references in your own payment record. Store phone numbers, identity documents and bank details outside a shared register.
